Site Administration Assistant

Reporting to the Area Operations Manager, you will be an integral part of the team fostering excellent relationships that will be considered when key decisions are made. We are currently seeking an Administrator to join our team, spending time between two key locations based on work deadlines, Blackwater Mine Site Office and Emerald Office. The purpose of this role is to provide administrative services for the Coal North region team to be conducted in a timely, accurate and auditable manner.
This is a full-time permanent position, and it is expected that the successful applicant lives within the region.
Are you a strong Site Administrator Extraordinaire with a keen eye for detail, advanced skills in Microsoft Office products, experience with Purchase Order Programs and SAP? Site need your strong administration experience, preferably with previous site experience booking & managing housing/accommodation and travel as well as KPI reporting and analysis. Other duties include:
Report all site KPI data
Prepare reports and correspondence
Organise travel arrangements meals and accommodation and training courses
Compilation and preparation of monthly overtime
Manage ordering for supply of uniforms, PPE, stationery
Raise purchase orders and receipts purchase within SAP
Compilation and preparation of weekly wage summaries for payroll
Assist with training programs on site
Coordinate the Induction and Job Orientation program for new employees.
Management of confidential site personnel and training records ensuring all operations personnel competencies are always valid
Assist both operations and maintenance department in engaging on site contractors
Work with other DNAP Administrators to achieve consistency
Maintain the highest standards of presentation and professionalism.
Work and travel to other sites as required, provide cover for other administrators
The successful candidate must be able to pass a Qld Coal Board Medical, including Drug and Alcohol testing. You will be required to wear PPE on site as well as have the ability to work between Blackwater and Emerald from time to time as required and provide relief coverage to Moranbah when required.
Having worked in a similar role with competing demands you will demonstrate the following:
Certificate III in Administration highly advantageous
Impeccable attention to detail and demonstrated organisational skills
The ability to work autonomously and unsupervised
Excellent problem-solving skills and reconciliation
Thorough, accurate and proactive in addressing issues
Proficient with Microsoft Suite, Outlook and SAP essential
At least 4 years Office Administration experience
Ability to establish and maintain good working relationships with managers and employees
High personal drive to meet deadlines
