Administration Officer

Job Description

Woorabinda Pastoral Company is a major commercial agricultural operation of the Woorabinda Aboriginal Shire Council (WASC). The properties (45 000ha) are located 150km west of Rockhampton and have extensive dry land cropping (5 660Ha) and beef cattle operations, with a herd of 5000. 

This opportunity will see you reporting directly to the CEO and working within the team to assist with the day-to-day operations:

-  You will be required to work autonomously with direct operational requests from the CEO and board to ensure the expected outcomes support the company’s operational and corporate plans. 

-  Reception duties : 

  • Perform day to day financial transactions, including verifying classifying, computing, posting and recording accounts payable and receivable data.

-  Accounts payable : 

  • Receive, review and prepare invoices in readiness for processing, including ensuring that invoice details are in line with determined requirements.
  • Match invoices to purchase orders authorized by appropriate signatories.
  • Forward invoices to responsible officers and/or outsourced accounting firms to obtain authority and costing details. 
  • Input invoices details into MYOB In-tray with purchase orders to ensure process in a timely manner through to payment stage.
  • Address and respond to customer/creditor enquiries and follow up any outstanding items with responsible officers.

Record keeping:

  • Create databases/files/record keeping for invoices, purchase orders, employee records, time sheets, meetings, general correspondence.
  • Computer applications involving clerical skills at this level, which may include one or more of the following functions: 

- create a database/files/records. 

- spreadsheet/worksheet; graphics. 

- accounting/payroll file following standard procedures and using existing models/fields of information.


  • Maintain email, forwarding all appropriate emails to other departments when required.
  • Use of word processing software package ot create, format, edit, correct, print and save text documents.
  • Arrange meeting bookings, and refreshments for meetings.
  • Assist with administrative processes relating invoices received, purchase order recording.
  • Ensure timesheets are filled correctly, processed, and signed by authorized person and forwarded to outsourced accounting firm for processing.
  • Apply day to day independence in determining work schedules and sequences within a well-defined environment with general managerial supervision.
  • Any other duties as requested, within the scope and expertise expected at this level.

-  Hold at minimum a current “C” class drivers licence. 

The role is covered under the Queensland Local Government Industry (Stream A) Award – State 2017. Administration, Clerical, Technical, Professional Community Service, Supervisory and Managerial Services. Level 2.
